What is Remote Online Notarization (RON)?

Remote Online Notarization (RON)—also called electronic notarization, e-notarization, or online notarization—allows you to get a document notarized through an online platform. You submit your document to us. We upload it to the signing platform and send you an invitation. You go through identity verification and then meet us in the virtual signing room. You sign electronically, we sign and stamp electronically. Afterwards, we provide you with a certified PDF that you can print or share electronically. If you need the electronically notarized document apostilled for use abroad, we’ll take care of that for you, too.

What is Remote Online Notarization (RON) apostille?

In brief, a Remote Online Notarization (RON) apostille is a certification process that validates your electronically notarized document for use abroad. Any kind of document that would be notarized in person and then apostilled can also be notarized online and then apostilled. The receiving party may request the RON apostille for study abroad, work abroad, citizenship, legal, business, family, or real estate transactions.

The apostille process begins with the submission of the electronically notarized document. Depending on what state your RON notary is located in, they may print the notarized document and bring it to their Secretary of State in person, or they may submit it for an e-apostille. Our expedited apostille service completes this process in as little as one to two business days.

Countries that are not members of the Hague Apostille Convention (such as Thailand, the UAE, or Vietnam) require additional embassy or consulate authentication and often U.S. State Department legalization. We will detail the additional authentication services required and the timeline for obtaining them in our price quote. (See Step 1 below).

How do I set up an online notarization?

Step 1: Email us for a price quote

Pricing varies depending the number of documents, the number of signers, the need for witnesses, and whether or not you need apostille/legalization. In order to get a quick price quote, please email info@sfnotary.com with the following information:

  • Your name, address, and phone number

  • The document(s) that need to be notarized remotely

  • Your answers to the following questions:

    • Do you have a computer with a camera and microphone (preferred) or a smartphone or tablet?

    • Do you have a valid US ID like a driver license or passport?

    • Have you mostly lived in the US for the past 5 years?

  • If you need the document(s) apostilled, please also provide:

    • The name, address, phone number, and email address of the recipient (if you'd like us to ship it to a third party)

    • The destination country

We will respond with a price quote without delay. Once we've agreed upon a price, we will start the RON process.

Step 2: RON signing

We will upload and tag your documents, and then we’ll schedule a RON session with you. Prior to the session, you’ll go through identity verification (we’ll send instructions). Then we’ll meet in the signing room and perform the online signing and notarization. Afterwards, we’ll share the certified PDF of your remotely notarized document.

Step 3: Apostille/legalization (if required)

If your e-notarized document is being used in a foreign country, we will obtain an apostille from the Secretary of State in which your notary is located. Some countries require apostilles plus additional legalization/authentication from a consulate or embassy. If additional certification is required, we will provide details in the price quote. Once the document is apostilled (or apostilled and legalized), we'll ship it via FedEx Priority Overnight Service (USA destinations) or FedEx International Priority Service (overseas destinations).
